Our OneVision service continues to deliver real financial value as it supported Encore Estate Management in saving a residential development £32k in quoted works.

With their own dedicated Account Manager, Sarah Jackson, Encore have removed the complexity of lift management and replaced it with expert oversight and long-term cost control. This case study is a perfect example of how strategic lift management can help in avoiding unnecessary expenditure.

The Quotation That Raised Questions

At one of Encore’s residential developments, the incumbent lift contractor issued a quotation for the replacement of main hoisting belts on two passenger lifts. According to the contractor, the belts, along with their associated pulleys, had reached the end of their expected lifecycle, based on either time in service or number of trips. They classified the replacement as a lifecycle maintenance activity, not a reactive repair, and therefore claimed it was not covered under the site’s fully comprehensive maintenance contract.

While they offered to cover the labour cost as a goodwill gesture, the client was still being asked to pay for materials and scaffolding.

To most property managers, this sort of technical language and contract jargon can be hard to understand. But under OneVision, Encore didn’t need to worry, because we did.

Digging Into the Details

ILECS’s dedicated account manager, Sarah, immediately raised a red flag. As the lift had a fully comprehensive contract, why were materials being charged at all? We reviewed the documentation, challenged the contractor’s interpretation, and pressed for clarity. Was this really a lifecycle issue or simply a clever way to pass costs onto the client?

After ongoing correspondence, the contractor admitted that while the O&M manual recommends belt replacement at 15 years or 3 million trips, the contract itself made no explicit mention of lifecycle exclusions. They further acknowledged that this wasn’t a reactive repair or defect failure, the only exclusions that would typically justify additional charges.

Negotiating a Fair Outcome

Crucially, our persistence and technical understanding made all the difference. Recognising the strength of our position, and perhaps more importantly, the scrutiny we were placing on the matter, the contractor agreed to remove the materials cost entirely, saving the client a significant expense. Encore was only required to cover scaffolding costs, a fair outcome and a result of having ILECS in their corner.

What could have been a costly, unjustified charge became a clear win for Encore, all without them lifting a finger. Our OneVision team handled the entire process, from technical review to contractor negotiation, giving the client clarity and confidence that their interests were being protected.
